2. The three types of UPS, explained simply

Not all UPS units are equal. There are three main families, and both the price and the level of protection climb a notch at each step. The right choice depends on how sensitive your equipment is.

Standby (passive standby)

The entry-level model. It lets the wall current through and switches to the battery only when it detects an outage. The transfer takes a few milliseconds. That is fine for a single workstation or a small cash register, but a little thin for a server.

Line-interactive

The most common choice for a small business. On top of the battery, it continuously corrects the voltage drops and the surges without drawing on the battery. Your equipment receives cleaner power and the battery wears out more slowly. This is the balance point for a server, a NAS and the network gear in an office.

Online (double conversion)

The high end. It rebuilds the current from scratch at all times, so your devices are completely isolated from the electrical grid. Zero transfer time. It is kept for critical servers, equipment rooms and medical devices. It costs the most to buy and to run, but nothing gets through.

3. Sizing your UPS correctly

Runtime is how long the battery holds under your real load. Five to fifteen minutes is enough to shut a server down properly or to ride out a short outage. 4. What to plug in (and what to keep off)

A UPS has two sets of outlets: the outlets backed by the battery and the outlets with surge protection only. Save the battery side for the equipment that must never cut out without warning.

  • On battery: server, NAS, firewall, network switch, internet gateway, front desk workstation
  • Surge protection only: monitors, chargers, small peripherals
  • Never on the UPS: laser printer, space heater, vacuum cleaner, kettle

The laser printer deserves a mention. When the fuser fires up, it pulls a huge spike of current that can trip the UPS or drain the battery in a few seconds. Plug it in somewhere else. The same logic applies to anything that produces heat.

Remember to connect the UPS to your server with the USB cable that comes in the box. The management software then triggers a clean automatic shutdown when the battery drops below a set threshold. 5. Battery maintenance and lifespan

A UPS is not a device you install and forget for ten years. The battery is a consumable. In an office at a normal temperature, it usually lasts three to five years. In a hot or dusty room, less. A dead battery gives no warning: on the day of the outage, the UPS beeps and shuts off right away.
