IT services in Louiseville: a workstation ready on day one, access closed on the last
On a small team every hire matters, and so does every departure. A newcomer waiting for a computer loses the first day. A former employee whose account still works keeps a door open on your files. OKTO Solutions handles both moments from Trois-Rivières, about 36 km from Louiseville.
In Louiseville, OKTO Solutions prepares a new employee’s workstation, account and access before the start date, based on the role. At departure the account is blocked, the hardware is collected and outside access is removed, with a written record. OKTO’s office is in Trois-Rivières, about 36 km away.
Who sets up the workstation and accounts for a new hire in Louiseville?
A Louiseville business that hires wants the new person productive in the first hour, and wants a departure to leave nothing open behind it. OKTO Solutions offers its services to SMBs in Louiseville from its office in Trois-Rivières, about 36 km away, and treats arrival and departure as one procedure run in both directions. Before the start date, the account, email address, licence and multi-factor authentication are created from the role, then the device is encrypted, protected and tested with the real account. With hardware in stock, 5 business days of notice are enough. If equipment has to be ordered, it takes 10 to 15. At departure the account is blocked, open sessions are revoked, the hardware comes back and outside access is removed, with a written record of what was closed. OKTO has no office in Louiseville. An on-site visit can happen the same day depending on urgency.
Before the hire
What do we need to know when you hire someone?
Three pieces of information get the work started. Everything else follows from them, with no case-by-case debate.
The role, not a co-worker’s name
“Give her what Josée has” is the sentence that does the most damage. Josée has been collecting permissions for years. We start from a standard role instead: two billing clerks get exactly the same access.
The date and the place of work
The start date sets the countdown. The place tells us the rest: office, shop floor, road or home. A remote workstation is not prepared like one at the front counter.
The hardware required
Laptop or tower, one monitor or two, headset, phone. With a spare device on hand, things move fast. If it has to be ordered, that lead time decides when the person can really start working.
The manager’s name rounds out the request, since the manager confirms access to line-of-business software. The whole method is laid out on the employee onboarding and offboarding page.
Day one
How is a workstation prepared before the first morning?
The goal is easy to state: the person sits down and works. Getting there means doing everything ahead of time, in an order that never changes.
The account comes first. Email address, groups, the shared folders that go with the role, licence, second sign-in factor, and a line in the access register. The device is next: enrolment in central management, encrypted disk, protection installed, role software deployed, printers configured. Then someone signs in with the real account, because a machine nobody tried always holds a surprise.
On the day, the first sign-in is guided. We set up the second factor with the person and show how to ask for help. A few days later, a short check-in catches whatever is still missing, usually access to a business application or an approval right.
A workstation setup sheet: the hardware, then each configuration step, ticked before delivery.
Last day
What has to be closed when an employee leaves?
Six items, in this order. Everyone remembers the first two. The other four are the ones found still open months later.
- The account and its sessions. The account is blocked and active sessions are revoked on every device. A password change alone leaves a signed-in phone working.
- Email. Incoming messages go to whoever takes over the files, and the mailbox is kept under the rule you have set.
- Personal files. Whatever sits in the employee’s cloud storage is handed to the manager before the account goes away.
- Hardware. Laptop, phone, monitors and access keys come back and are logged in the register. The device is wiped, then refurbished.
- Outside access. Supplier portals, business applications, the phone system, social media accounts, folders shared with customers.
- Licences and the paper trail. Licences are released or reassigned. A written record states what was closed, when, and by whom.
In between
Why does it all rest on an access register?
Because only what was written down gets removed. In many small businesses an account is born from a request made the day before, then one access is added to help out, then another for a project. When the person leaves, the Windows session and the mailbox are shut. The supplier portal and the accounting software stay open, since nobody ever listed them.
The register fixes that. Every access granted gets a line, and a departure means working back up the list. An internal job change is handled the same way: the old role’s rights come off before the new ones go on, instead of piling up.
If you suspect old accounts are already lying around, an inventory of accounts and access brings them out. It is one of the areas covered by our cybersecurity audit for SMBs.
One register, both directions: every line granted on arrival is removed on departure.
The ground
Louiseville, about 36 km from our office
Louiseville is the seat of the Maskinongé regional county municipality, in Mauricie. That is the same region as our Trois-Rivières office.
Being close changes one practical thing for an arrival: handing over a workstation in person and guiding the first sign-in on site stays realistic. For Louiseville and Maskinongé, a visit can happen the same day depending on urgency. The remaining work, meaning account creation, access and the follow-up a few days in, is done remotely.
We have neither premises nor a technician stationed in Louiseville, and every trip starts from Trois-Rivières. Employee onboarding is part of our managed IT services, whose levels are presented on the page for our Base, Standard and Complet plans. Other municipalities in the region are covered on the IT services in Mauricie page, and the full territory on the service areas page. For an upcoming hire, write to us through the contact page with the start date and the position.
