The scope

What does a single provider take on, in practice?

Four areas, one team. On the workstation: employee support, patches for Windows and third-party applications, EDR-type protection, inventory and hardware replacement, spread over time instead of forced by a failure. On the network: the firewall, the internal network and wireless.

In Microsoft 365, we keep the accounts, the licences, multi-factor authentication, arrivals and departures. The licence of someone who has left is released instead of sitting on the invoice. OKTO is a Microsoft Partner.

Backup covers workstations, servers and Microsoft 365. It is centralized and monitored. From the Standard plan up, it is also verified by a real restore, twice a year.

The path of a request

How does a request travel when there is only one queue?

Four ways in, one line to wait in. The path itself does not change from one day to the next.

  1. The employee writes. Through the OKTO button in the notification area of the workstation, through the client portal, by email or by phone. All four land in the same place.
  2. The request becomes a ticket. Sent from the button, it leaves with the machine and its diagnostics attached. Nothing to look up before writing.
  3. The ticket is sorted by impact. One person stuck, a team stuck or the business stopped: not the same rank.
  4. A technician calls back. He takes control of the workstation with the person’s consent, then explains what happened, in plain language.
  5. The cause is somewhere else? The ticket stays with us. Firewall, Microsoft 365 account or backup: it changes hands inside the team, not between providers.
  6. The ticket closes with the cause. Whatever comes back too often is picked up in the monthly step-back, to be fixed at the source.

What does a single invoice really change?

The bookkeeping, to begin with. Four providers means four invoices, four dates and four ways of counting. A managed services plan is a monthly amount known in advance, set per workstation or per server. No price is posted here: it depends on your environment and is given after we have seen it.

Then the incentives. A provider paid by the month gains nothing from letting a problem drag on when it will be back in a week. The plan puts both parties on the same side.

One provider does not mean a provider you can never leave. Subscriptions, domain names, administrator accounts, data: all of it remains in your name, and you receive the documentation of your environment. The day you change providers, all of it goes with you.
