Why start with access instead of training?

Because Copilot is very good at finding things. A human resources folder shared one day with “everyone” sat there quietly: nobody knew it was open, so nobody went looking. With Copilot, an employee asks an ordinary question and the answer quotes that folder.

The tool bypassed nothing. The right was already there. In an organization that has been sharing files for ten years, you find links with no expiry date, libraries inherited from an old project and management documents filed in the wrong place.

They are handled in the admin centre, with no change for users. That is why distance does not get in the way.

  1. Sharing in SharePoint and OneDrive. Which sites are open to the whole organization, which links never expire. This comes first, and it is often the longest.
  2. Sensitivity labels. Do they exist, are they published, do they actually block copying to the outside? Labels created and never published protect nothing.
  3. Data loss prevention. The rules that stop a social insurance number or banking details from being sent out of the company.
  4. The audit log. Is it on, since when, and how long are records kept? Without it, nobody can say who asked for what after an incident.

It is there whether Copilot is on or not. A free account opened with the work email. A quote pasted into an assistant to shorten it. Nobody means any harm: people are trying to go faster with whatever is at hand.

The trouble is that information leaves the business with no agreement and no trace. When it holds personal information, Law 25 treats it as a disclosure to a third party, with the obligations attached.

So the first step is a portrait.
