You just wrapped up an important Microsoft Teams meeting, and a colleague who missed it is asking for a recap. Or maybe you want an exact record of a training session, a client meeting, or a troubleshooting call. In these situations, recording the meeting solves the problem in a few seconds, as long as you know where to click and where to find the file afterward.

Plenty of SMB managers in Mauricie use Teams every day without ever touching this feature. Yet recording is built in, free with most Microsoft 365 plans, and saved automatically to the cloud. Here’s the simple guide to recording a Teams meeting, finding the video, turning on the transcript, and staying compliant with privacy law in Quebec.

Quick answer: During the meeting, click the three dots (More actions), then Record and transcribe, then Start recording. Every participant gets a notice. When the meeting ends, the recording lands automatically in OneDrive or SharePoint and in the meeting chat, ready to share.

1. Who can record a Teams meeting?

Before you go looking for the button, know that not everyone can start a recording. Microsoft restricts this feature to prevent misuse. As a rule, the person who organizes the meeting and participants from the same organization can record, provided the Microsoft 365 admin has allowed it in the policies.

Here are the usual conditions for recording a Teams meeting:

  • Hold a Microsoft 365 license that includes recording (most Business and Enterprise plans do).
  • Be the organizer, a co-organizer, or an internal participant from the company.
  • Have the recording policy turned on by the administrator.
  • Have enough OneDrive or SharePoint storage available.

External guests and anonymous participants can’t start a recording. If you manage several employees and the button doesn’t show up for anyone, it’s usually a policy that’s turned off at the admin center. That’s exactly the kind of setting an IT team can adjust quickly, the way our team does through its managed Microsoft 365 services for SMBs in Trois-Rivieres.

2. Recording a Teams meeting step by step

The process is the same on the Windows desktop app, on Mac, and in the web browser. Once you’re in the meeting, here’s how to do it:

  1. Click the More actions button (the three dots) in the control bar at the top of the meeting window.
  2. Choose Record and transcribe.
  3. Click Start recording.
  4. A red banner appears for every participant, who also get a notification letting them know the meeting is being recorded.
  5. To stop, go back to the same menu and select Stop recording. Otherwise, the recording ends automatically once the last person leaves the meeting.

Handy tip: turn on the transcript at the same time as the recording. That way you get both a video and a full text of the conversation, which makes finding a specific moment much faster. On a phone, the feature is also available in the Teams mobile app, under the same three-dot menu.

3. Where does the recording end up after the meeting?

This is the question that comes up the most. Since 2021, Microsoft no longer stores recordings in the old classic Stream service. Today, everything goes to OneDrive or SharePoint, depending on the type of meeting.

  • Scheduled or ad-hoc meeting: the recording lands in the OneDrive of the person who started the recording, in a folder named Recordings.
  • Channel meeting (within a team): the file goes to the team’s SharePoint, in a Recordings folder under the Files tab.
  • Quick access: the link also shows up directly in the meeting chat for a few weeks, which is often the easiest way to grab it.

The file is saved in MP4 format, so it plays on any device. You can share it like any other document, manage permissions, and even download it. That said, check your retention policy: by default, some recordings can be deleted automatically after a set number of days to save storage space.

4. Consent and privacy: what Quebec law says

Recording a meeting isn’t just a technical matter. In Quebec, Law 25 on the protection of personal information governs the collection and retention of data, and that includes participants’ voices and images. The good news is that Teams automatically shows a notice to everyone as soon as recording starts.

A few good habits to stay on the right side of the law:

  • Announce out loud at the start that the meeting will be recorded, on top of the automatic notice.
  • Explain why you’re recording (training, meeting minutes, client file) and how long you’ll keep the file.
  • Limit access to the recording to the people who genuinely need it.
  • Delete recordings you no longer need to keep.

For an SMB, these habits avoid a lot of awkward situations, especially when clients or outside partners are part of the meeting. If you’re not sure about your obligations, having a local IT partner review your practices is well worth the effort.

5. Automatic transcription and captions

Transcription is probably the most underused feature in Teams. Turned on at the same time as the recording, it generates a time-stamped text of everything that was said, with speaker names attached. French is well supported, including Quebec accents in most cases.

In practical terms, this lets you:

  • Find a specific moment by searching for a keyword instead of replaying the whole video.
  • Send a written summary to people who missed the meeting.
  • Make your meetings accessible to hard-of-hearing employees through live captions.

You can also download the transcript as a Word or VTT file. Paired with the Copilot assistant, this transcript can even produce an automatic summary and a task list, a real time-saver for teams juggling a lot of meetings.

6. Common problems and quick fixes

Recording button not showing up? Here are the most common causes and what to do about them.

  • Button missing or greyed out: the recording policy is turned off in the admin center, or your license doesn’t include it. This needs to be adjusted on the admin side.
  • You’re an external guest: only internal members can record. Ask the organizer to do it instead.
  • Storage full: a OneDrive or SharePoint account that’s maxed out blocks the save. Free up space or increase the quota.
  • Can’t find the recording: check the meeting chat and the Recordings folder in OneDrive or SharePoint.

Most of these snags are fixed in a few minutes on the Microsoft 365 admin side. For a business without a dedicated IT person, it’s the kind of detail that wastes time for no good reason.

Frequently asked questions

Can you record a Teams meeting without being the organizer?

Yes, an internal participant from the company can start the recording if the administrator’s policy allows it. External guests and anonymous participants don’t have that option.

Do participants know when a meeting is being recorded?

Yes, Teams automatically shows a banner and a notification to everyone as soon as recording starts. It’s still a good idea to announce it out loud to comply with Law 25 in Quebec.

How long is a Teams recording kept?

By default, the file stays in OneDrive or SharePoint until you delete it. Some organizations do configure automatic deletion after a set number of days chosen by the administrator.
