Voice typing on Windows 11: write without touching your keyboard

Windows 11 has voice typing built in. Put your cursor in a text field, press Windows + H and start talking: your computer writes what you say, in Word, Outlook, Teams or a browser. Nothing to download, nothing to configure, and hardly anyone at the office knows it is there.

You are writing a long email, a meeting summary or a memo, and your wrists start to complain. 2. How to turn on voice typing in 30 seconds

  1. Click in the text field where you want to write (an empty email in Outlook, for example).
  2. Press Windows + H at the same time.
  3. A small voice typing bar appears at the top of the screen with a microphone icon.
  4. Click the microphone (or just start speaking) and dictate your text.
  5. To stop, say "stop listening" or click the microphone again.

The first time around, Windows may ask permission to use your microphone. Accept, otherwise voice typing stays silent. If your workstation is managed by an IT provider, those permissions are often already set as part of your managed IT services.

3. The punctuation commands worth knowing

The secret to clean dictation is saying the punctuation out loud. Windows 11 recognizes a good number of voice commands. Without them, you end up with one long block of text with no commas and no periods, painful to read back.

  • "comma" inserts a comma.
  • "period" ends the sentence.
  • "question mark" or "exclamation mark" for questions and exclamations.
  • "colon", "semicolon" and "open parenthesis" / "close parenthesis".
  • "new line" and "new paragraph" to give your text some air.
  • "delete that" wipes the last thing you dictated.

Take five minutes to practise on a scratch document before you use it for real work. After a few tries, punctuation becomes second nature and your text comes out almost ready to send, with far less cleanup afterwards.

4. Fixing the most common problems

Voice typing works well, but a few irritants come back regularly. Here is how to clear each of them quickly, without calling anyone.

The microphone picks up nothing

Check that the right microphone is selected under Settings > System > Sound. On a laptop, you are sometimes on the built-in mic while you speak into a headset, or the other way around. Make sure microphone access is allowed under Settings > Privacy & security > Microphone as well.

The text comes out in the wrong language

Dictation follows the language of your active keyboard. If your words come out in French, switch the input language with Windows + Space and pick English before starting again.

The transcription is not accurate enough

Speak at a natural pace, neither rushed nor choppy, in a quiet room. A decent external microphone improves the results a lot compared with the built-in mic on a laptop. Always read it back before sending: voice typing is very good, but it is not perfect on proper names and technical vocabulary.

Voice typing can change the way you work, as long as you keep two reflexes. First, think about confidentiality: avoid dictating passwords, card numbers or sensitive personal information in a shared space, and find out how your voice data is handled.
