IT services in Pont-Rouge: backing up Microsoft 365 for real
Your email and your files are in the cloud, so everyone assumes they are safe. They are, against an outage at Microsoft. They are not against a folder emptied by mistake and noticed six months later. OKTO Solutions offers its services to SMBs in Pont-Rouge from Trois-Rivières, about 93 km away. This page explains what the Microsoft recycle bin does not do, and what a real copy keeps.
In Pont-Rouge as anywhere else, the Microsoft 365 recycle bin is no substitute for a backup: a file deleted from SharePoint or OneDrive stays there only ninety-three days in total. OKTO Solutions sets up an independent copy of the subscription, kept in Canada and restorable item by item, from its office in Trois-Rivières, about 93 km away.
Does a Pont-Rouge SMB need a Microsoft 365 backup?
Yes. A Pont-Rouge business that works in Microsoft 365 needs a separate backup, because the recycle bin is not one. Microsoft answers for the availability of its service, not for recovering what an employee, an attacker or an offboarding procedure erases. A file deleted from SharePoint or OneDrive remains recoverable for ninety-three days in total, according to the Microsoft documentation consulted in 2026, and then it is gone for good. OKTO Solutions offers its services to SMBs in Pont-Rouge from its office in Trois-Rivières, about 93 km away, and sets up a copy that is independent of the subscription: mailboxes, shared mailboxes, OneDrive, SharePoint and Teams. That copy is kept in Canada and restored item by item, to a chosen date. The retention period is decided with the business before anything is configured. OKTO has no office in Pont-Rouge, and the connection to the subscription is made remotely.
The recycle bin
Why is the Microsoft 365 recycle bin not enough?
It was built for yesterday’s mistake, not for last spring’s. In SharePoint and OneDrive, a deleted item moves through two recycle bin stages. It spends ninety-three days there altogether, per the Microsoft documentation consulted in 2026. After that it exists nowhere at Microsoft.
Microsoft hides none of this. The shared responsibility model is written into the service terms: availability, infrastructure and redundancy are theirs, while data, accounts and access are yours. A hardware failure in their data centres costs you nothing. A folder erased on your side is your problem.
That leaves retention policies. They do extend how long things are kept, provided they were configured. They block deletion for a period, which serves compliance. They are not restored to a chosen date the way a backup is.
As for version history, it helps in the simple cases, one file at a time.
The recycle bin countdown: once it hits zero, the folder can no longer be recovered in Microsoft 365.
The real losses
When is data lost for good?
Not because of an outage at Microsoft. Because of something done on your side that nobody noticed in time.
The deletion noticed too late
Someone tidies up a SharePoint site and takes one folder too many. It comes to light months afterwards, when a customer asks for the document again. The recycle bin period has run out, and Microsoft has nothing left to give back.
The compromised account
Microsoft logs the actions and lets you block the account. But an attacker who empties the mailbox with permanent deletions leaves little recourse. With a copy, the content comes back as it was before the intrusion.
The departure handled too fast
Deleting a former employee’s account eventually takes its content with it, unless retention was configured on purpose.
There is a fourth case: ransomware that encrypts synced files. A backup then allows a bulk restore to a point in time. See the ransomware protection page.
The copy
What does a real Microsoft 365 backup keep?
Everything the work happens in, not just email. Mailboxes with their folders, calendar and contacts. Shared mailboxes, which get forgotten because they belong to nobody. Each user’s OneDrive. SharePoint libraries and team sites. Teams files and conversations, to the extent Microsoft allows.
The list is not drawn up from memory. It is pulled from your Microsoft 365 administration, then compared with what the backup covers. The account left active after a departure and the mailbox created for a project surface at this step.
The copy lives outside your subscription, in Canada. Whatever happens to an account therefore cannot reach it. To get something back, you pick a date, then an item: a single email or a single file returns quickly. A full mailbox or an entire library takes longer, depending on the volume.
In the restore console: a point picked in the past, and the file put back in its folder.
Setup
How is the backup put in place?
Four steps. The first is a business decision, not a setting. The last is what separates a backup you own from a backup that works.
- Decide what to keep, and for how long. Your contractual, regulatory and internal obligations set the retention period. We choose it with you before configuring anything.
- Connect the subscription. The backup is tied to your Microsoft 365 and covers mailboxes, shared mailboxes, OneDrive, SharePoint and Teams. An account created later is picked up automatically.
- Watch the failures. A job that fails is flagged and handled as an incident. A report nobody reads protects nothing.
- Restore for real. At regular intervals, a chosen item is restored to confirm that the copy is usable.
The ground
Pont-Rouge, on Route 365, about 93 km from Trois-Rivières
Pont-Rouge lies in the Capitale-Nationale region, within the Portneuf regional county municipality. Route 365 runs through the town, between Neuville and Saint-Raymond.
A Route 365 for a page about Microsoft 365: the coincidence is free, so we take it. More seriously, distance plays almost no part here. A Microsoft 365 backup is connected to your subscription, monitored and restored remotely. We have neither premises nor a technician in Pont-Rouge.
The rest of an IT environment sometimes needs hands on site. When it does, the visit leaves from Trois-Rivières and is planned with you. Everyday requests go through IT support, open every weekday. It starts at 8 a.m. and closes at 5 p.m. An emergency line covers blocking outages: the Complet plan includes it.
Backing up servers and workstations falls under our backup and disaster recovery service. For the capital, see the IT services in Quebec City page, and for the whole territory, the service areas page. You can also write to us through the contact page.
